IT Support for Construction and Trades: What You Need When Your Office Is a Building Site

9 July 2026

Construction companies and trade businesses don't fit the mould of a typical IT support client. Your team isn't sat in an office staring at laptops all day. They're on site, in vans, on scaffolding, in basements with no signal. The "office" might be a portacabin, a kitchen table, or the front seat of a Transit.

But the IT needs are real. Job management software, quoting and invoicing, CIS tax submissions, project documentation, health and safety records, client communications, fleet tracking, timesheets. The tools exist, but making them work reliably for a mobile workforce is a different challenge to setting up a standard office.

Construction IT isn't about having the fanciest setup. It's about tools that work on a phone with patchy signal, data that's backed up when it matters, and systems that don't create more admin than they save.

The Real IT Challenges in Construction

Mobile Workforce

Your team is spread across multiple sites, working from vans, and rarely in the same place twice. They need access to job details, drawings, schedules, and client information from their phones. But most business IT is designed for people sitting at desks with reliable Wi-Fi. The gap between what most IT providers set up and what construction teams actually need is enormous.

Site Connectivity

40%of UK construction sites report unreliable internet connectivity

Some sites have fibre. Most don't. Many have barely usable 4G. If your job management system is cloud-based and the site has no signal, your foreman can't access drawings, update progress, or log time. Your tools need to work offline or with minimal connectivity, and sync when signal returns.

Rugged Conditions

Phones get dropped in mud. Tablets crack. Laptops collect dust. Hardware in construction takes a beating that office equipment never faces. Your IT setup needs to account for this with robust devices, proper cases, and a plan for quick replacements when something breaks on site.

Subcontractor Coordination

Construction projects involve multiple subcontractors who need access to schedules, drawings, and project information without getting access to your entire business. Managing this access properly, granting what's needed and revoking it when the job is done, is an IT challenge that most general MSPs don't think about.

What Construction Businesses Need

Job Management Software

Whether you use Tradify, ServiceM8, Fergus, Simpro, Buildertrend, or something else, your job management platform needs to be set up properly. That means proper user accounts for each team member, mobile access configured, integration with your accounting software (Xero, QuickBooks), and data backed up.

The biggest mistake we see is businesses paying for software and then only using 20% of its features because nobody set it up properly or trained the team.

Quoting and Invoicing

Speed matters. If a customer requests a quote and you take three days because your quoting system is clunky or you're doing everything in Word, you've probably lost the job. Your quoting workflow should be fast, mobile-friendly, and connected to your job management and accounting systems so you're not entering the same information three times.

CIS and Payroll

Construction Industry Scheme submissions, subcontractor verification, payroll for a mix of employed and self-employed workers. This is complex, and the software needs to be reliable. If CIS returns are late because your system crashed, HMRC won't accept "IT problems" as an excuse.

Document Management

Drawings, specifications, method statements, risk assessments, RAMS, certificates, warranties, handover packs. Construction generates enormous amounts of documentation. If it's all in email inboxes, WhatsApp groups, and random folders on someone's laptop, finding the right version of the right document when you need it is a nightmare.

A proper cloud-based document system (even just a well-organised SharePoint or Google Drive) with consistent naming and folder structures makes a real difference. Your team needs to access documents on site from their phones, and the latest version needs to be the one they find.

Health and Safety Records

Digital health and safety documentation is increasingly expected. Risk assessments, toolbox talks, incident reports, CSCS card records, site inductions. If you're still doing all of this on paper, you're creating a filing problem and making it harder to demonstrate compliance when you need to.

Email and Communication Security

Construction companies are targeted by invoice fraud. An attacker compromises your email, watches for a large invoice to a client, and then sends a follow-up with different bank details. The client pays the wrong account. It happens more often than the industry talks about.

If a client pays a fraudulent invoice because your email was compromised, the financial loss, legal dispute, and reputational damage can be devastating for a small construction business.

MFA on email, anti-phishing protection, and DMARC configuration are essentials, not luxuries.

Common Problems We See

  • WhatsApp as the main communication tool. Job details, client information, photos, and documents all in WhatsApp chats. When someone leaves or changes phone, the data goes with them.
  • No backup of anything. Job records, quotes, invoices, photos. If the owner's laptop dies, years of business data dies with it.
  • No MFA on email. One compromised account and an attacker can redirect client payments.
  • Software that nobody uses properly. Expensive job management software that the team ignores because it wasn't set up for how they actually work.
  • No leavers process. A former employee or subcontractor still has access to client information, job details, and pricing.
  • Paper-based H&S records. Hard to search, easy to lose, difficult to demonstrate compliance during an audit.

How Senri Supports Construction Businesses

  • We set up tools for mobile teams. Your job management, documents, and email configured to work properly on phones and tablets, even with patchy connectivity.
  • We secure your email. MFA, anti-phishing, DMARC. The protections that prevent invoice fraud.
  • We connect your systems. Job management to accounting, quoting to invoicing, CIS to payroll. Less double-entry, fewer errors.
  • We keep it simple. Construction teams don't want complex IT. We set up tools that work, train your team to use them, and handle the rest.
  • No long contracts. Month-to-month, clear pricing. If it's not working for you, you can walk away.

You don't need an IT department. You need tools that work on site, data that's backed up, and email that's secure. That's what we do.

Where to Start

  1. Run a free health check. Our free IT health check scans your domain for email security and basic vulnerabilities.
  2. Turn on MFA. Email, accounting software, job management. If it holds client or financial data, it needs MFA.
  3. Back up your data. If your main laptop or phone was stolen tomorrow, would you lose anything important?
  4. Talk to us. 15 minutes to identify the biggest gaps. Get in touch.
