What IT Does a Consulting Firm Need?

What IT Does a Consulting Firm Need?

Consulting firms need IT that protects client data, enables hybrid working, and keeps Microsoft 365 running properly — here's what that looks like.

A consulting firm needs IT that keeps client data confidential, collaboration tools running smoothly, and people productive whether they're in the office, at a client site, or working from home. That means Microsoft 365 configured properly, devices managed and secured, and someone who understands that your consultants' laptops are your business.

Consulting is a trust business. Your clients share sensitive information with you — financials, strategy documents, organisational data — and they expect it to be protected. If your IT isn't set up to enforce that, you're one misconfigured sharing link away from a serious problem.

What Consulting Firms Actually Need

1. Client Data Protection

Every client engagement involves sensitive data. That data needs to be stored securely, accessible only to the project team, and protected from accidental sharing. Microsoft 365 gives you the tools — SharePoint with proper permissions, sensitivity labels, Data Loss Prevention policies — but they need to be configured. Out of the box, Microsoft 365 lets anyone share anything with anyone. That's not good enough for client work.

2. Microsoft 365 Done Properly

Teams, SharePoint, OneDrive, Outlook — your entire workflow runs on Microsoft 365. But most consulting firms have it set up in the default configuration, which means shared channels with no structure, files scattered across personal OneDrives, and no consistent approach to project organisation. A properly configured tenant has clear team structures, automated project provisioning, and retention policies that match your client agreements.

3. Secure Remote and Hybrid Working

Your consultants work from everywhere — the office, client sites, home, trains, coffee shops. Every device they use needs to be secured and managed regardless of location. Conditional Access policies ensure that company data can only be accessed from compliant devices, on trusted networks, with MFA verified. Without this, a stolen laptop or a consultant using public Wi-Fi becomes a client data breach.

4. Email Security

Consulting firms send and receive sensitive documents by email constantly. Your email domain needs SPF, DKIM, and DMARC configured to prevent spoofing. Anti-phishing policies need to be active. And your team needs to be able to send encrypted emails when the content demands it. If a client receives a spoofed email from your domain, the reputational damage is immediate.

5. Proposal and Document Automation

Consultants spend a disproportionate amount of time on proposals, reports, and client deliverables. AI-powered workflow automation can turn call notes into draft proposals, generate report templates from project data, and automate the formatting and delivery of client documents. This isn't about replacing the thinking — it's about eliminating the repetitive assembly work.

What Most Consulting Firms Get Wrong

The biggest mistake is treating Microsoft 365 as just email and file storage. It's a full collaboration and security platform, but only if it's configured that way. Most firms have Teams channels with no naming convention, SharePoint sites with inherited permissions that give everyone access to everything, and no Conditional Access policies at all.

The second mistake is not managing devices. If your consultants' laptops aren't enrolled in Intune, you have no way to enforce encryption, push security updates, or remotely wipe a lost device. For a firm that handles client data, that's a compliance gap.

Key takeaway: Consulting firms need Microsoft 365 configured for client confidentiality, devices managed and secured for remote work, email properly authenticated, and Conditional Access enforcing security policies everywhere your team works. Generic IT support that just keeps email running isn't enough.

We work with consulting firms across London to deliver managed IT that matches the way professional services actually operate.
