Estate agents need reliable CRM and portal integration, mobile access for agents on the move, and solid data protection for client information.
An estate agency needs IT that keeps its CRM running, its portal listings accurate, and its agents connected whether they are in the office, at a viewing, or working from home. The technology is not complicated, but it needs to be reliable — because when your CRM goes down or a portal feed breaks, you are losing instructions.
1. CRM and Property Portal Integration
Your CRM is the centre of your business. Whether you use Reapit, Alto, Dezrez, Street.co.uk, or one of the newer cloud-based options, everything flows through it — property details, applicant matching, vendor communication, offer tracking, and compliance records.
The critical IT requirement is making sure your CRM integrates cleanly with the major portals — Rightmove, Zoopla, and OnTheMarket. Feed errors mean listings go live with wrong details or do not go live at all. Your IT setup needs to ensure these integrations are monitored, that feeds are running on schedule, and that someone is notified immediately when something breaks.
If you are still running an on-premise CRM server, it is worth considering the move to cloud. Modern cloud-based estate agency CRMs remove the need for server hardware in your office, give agents access from anywhere, and shift the burden of updates and maintenance to the provider.
Portal feed issues are one of the most common IT problems estate agents report. The fix is usually simple — an authentication token expired, a field mapping changed, or a server restart is needed — but if nobody is monitoring the feeds, you might not notice for hours or days.
2. Mobile Access for Agents on the Move
Estate agents spend half their day out of the office — at viewings, valuations, and property inspections. They need to access the CRM, check applicant details, update viewing feedback, and respond to emails from their phone or tablet without friction.
This means mobile-friendly CRM apps, Microsoft 365 or Google Workspace for email and calendar on any device, and a secure way to access shared documents remotely. It also means decent mobile device management — so if a phone is lost at a viewing, you can remotely wipe the business data from it without affecting the agent's personal content.
3. Client Data Protection and GDPR
Estate agents hold a significant amount of personal data — buyer and seller identities, financial positions, proof of funds, passport copies for AML checks, and detailed contact preferences. Under GDPR, you are responsible for keeping all of this secure and only retaining it for as long as necessary.
In practice, this means encrypted devices, strong passwords with multi-factor authentication, controlled access to sensitive files (not everyone in the office needs to see proof of funds documents), and a clear data retention policy. It also means knowing where your data is — if applicant details are scattered across email inboxes, WhatsApp groups, and personal phones, you have a GDPR problem.
4. Anti-Money Laundering Compliance
Estate agents are regulated for anti-money laundering under the Money Laundering Regulations. Your IT systems need to support your AML processes — secure storage of identity verification documents, audit trails showing when checks were completed, and controlled access so only authorised staff can view sensitive AML records.
If your CRM has built-in AML features, make sure they are properly configured and that the data is backed up independently. If you use a separate AML platform, it needs to be integrated with your workflow so nothing falls through the cracks.
5. Branch Connectivity
Multi-branch agencies need their offices connected securely. Staff should be able to access the same CRM, shared drives, and communication tools from any branch. This typically means a cloud-first approach — with Microsoft 365 or Google Workspace handling collaboration, and a cloud-based or hosted CRM accessible from anywhere.
If branches still have local servers or NAS drives, you are creating data silos and backup headaches. Centralising everything in the cloud simplifies management, reduces hardware costs, and means a new branch is up and running in days rather than weeks.
What most agencies get wrong: Treating IT as the office manager's problem. We see agencies where the office manager is expected to fix printer issues, reset passwords, troubleshoot portal feeds, and manage GDPR compliance — on top of their actual job. That is not sustainable, and it is a compliance risk.
6. Internet and Phone Reliability
An estate agency that cannot make calls or send emails is an estate agency that is not earning. Your internet connection needs to be reliable, and ideally you should have a backup connection or a plan for what happens when it goes down. If you use VoIP phones, your call quality depends entirely on your internet — so invest in a proper business-grade connection, not a consumer broadband package.
