ChatGPT vs Microsoft Copilot for Business: Which Should a UK Small Business Use?

ChatGPT or Microsoft 365 Copilot? A plain-English comparison for UK small businesses: what each is best at, how they handle your data, and how to choose.

Quick answer

If your business runs on Microsoft 365, Microsoft 365 Copilot fits best because it works with your own emails, meetings and files in Outlook, Teams and Office. ChatGPT is the more flexible all-rounder for writing, research and analysis across any tools. Many businesses use both, always on business accounts.

It's the AI question we're asked most by small businesses: "Should we be using ChatGPT or Copilot?" Both are built on powerful AI models, both can draft, summarise and answer questions, and both have business versions. The real difference is where they work and what they can see.

The short version: if your business runs on Microsoft 365 and most of your work lives in Outlook, Teams, Word and SharePoint, Microsoft 365 Copilot fits best. If you want a flexible all-rounder for writing, research and analysis across any tools, ChatGPT's business plans are stronger. Many businesses end up using both. Whichever you pick, use a business account, not a personal one.

The Names Are Confusing, So First: Which Copilot?

  • Microsoft 365 Copilot Chat is the AI chat available to people signed in with a work Microsoft account. It's good for general questions and files you upload, and comes with Microsoft's enterprise data protection.
  • Microsoft 365 Copilot is the paid add-on licence. It works inside your Microsoft 365 data: your emails, chats, meetings and files.
  • Consumer Copilot is the personal version for home Microsoft accounts and isn't meant for company data.

Likewise, ChatGPT comes in free and personal plans, and business plans (ChatGPT Business and Enterprise) with admin controls. For work, compare the business versions.

Where Each One Shines

Microsoft 365 Copilot

  • Your own data, in context. "Summarise what was agreed with this client over the last month" works because Copilot can search the emails, chats and files you already have access to.
  • Inside the apps you already use. Recap a Teams meeting, draft a reply in Outlook, turn a Word document into PowerPoint slides.
  • Managed like the rest of Microsoft 365. Your existing users, permissions and security settings apply.

ChatGPT

  • A strong all-rounder. Writing, rewriting, brainstorming, research and analysing documents and spreadsheets you give it.
  • Flexible. Projects, custom GPTs for repeated tasks, and connectors to tools such as Google Drive, SharePoint and others, depending on your plan and settings.
  • Works whatever you use. It suits businesses on Google Workspace or a mix of tools.

What About Data Protection?

Both Microsoft and OpenAI state that business data in their business products isn't used to train their models by default. The bigger risks are closer to home:

  • With Copilot: it can surface anything a person has access to. If your HR folder is shared with everyone, Copilot makes it easy to find. Fix oversharing first, using our Copilot readiness checklist.
  • With ChatGPT: the risk is staff pasting client data into free or personal accounts. Give them an approved business account and clear rules. See is ChatGPT safe for business?

How to Choose

  1. Start with your platform. Microsoft 365 business? Try Copilot Chat now, then pilot paid Copilot with a few heavy email and meeting users. Google Workspace? Compare ChatGPT with Gemini, which is built into Workspace.
  2. Pick three real tasks, such as meeting notes, proposal first drafts and inbox triage, and test both tools on them for two weeks.
  3. Measure time saved, not how impressive the demo was.
  4. Set the rules before rollout: approved tools, what can't be shared, and that AI output is checked before it goes to a client. Our free AI policy template covers this.

Tip: features, plan names and prices change often for both products. Check the current details with Microsoft and OpenAI, or ask us, before you buy licences for the whole team.

Want Help Choosing?

Our AI Readiness Check looks at the AI tools your team already uses and whether your Microsoft 365 or Google Workspace is ready, then recommends where to start. We also run ChatGPT and Copilot training for staff, and build AI automations for the jobs neither tool does on its own.

Common questions

Neither is better for everyone. Microsoft 365 Copilot is better at working with your own emails, meetings and files inside Microsoft 365. ChatGPT is a more flexible all-rounder for writing, research and analysis, and suits businesses using a mix of tools.

No. Microsoft 365 Copilot uses OpenAI models among others, but it's a separate Microsoft product that works inside your Microsoft 365 data and security controls. ChatGPT is OpenAI's own product with its own accounts and settings.

Yes, and many businesses do. Just make sure both are business versions, that staff know which to use for what, and that your AI policy covers both.

Microsoft 365 Copilot Chat, used while signed in with a work account, comes with Microsoft's enterprise data protection. It's a reasonable, lower-risk starting point. The consumer Copilot app on personal accounts isn't meant for company data.
